In view of increased security measures and visa processing times, ScienVanta strongly recommends that all participants apply for their visa as early as possible and allow sufficient time for processing.
Obtaining the required visa, passport, travel authorization, and other travel documents is the sole responsibility of the participant.
Participants should contact the nearest embassy or consulate to confirm the applicable visa requirements and processing timelines.
All delegates or invitees must apply for the appropriate Business Visa, where applicable. ScienVanta does not provide advice or guarantee approval of visa applications.
ScienVanta will not contact embassies or consulates on behalf of visa applicants and has no control over visa decisions, appointment availability, processing delays, or visa refusals. For conference participants, an Acceptance Letter will be issued only after the abstract has been approved.
Any invitation or supporting letter provided by ScienVanta does not guarantee visa approval. Visa rejection, visa delay, inability to obtain a visa appointment, or failure to obtain a visa will not be considered grounds for cancellation or refund. The conference cancellation and refund policy will continue to apply.
All visa application fees, embassy/consular fees, travel expenses, accommodation costs, insurance, and other related expenses are the sole responsibility of the participant.
Participants are strongly advised not to make non-refundable travel or accommodation arrangements until the required visa has been granted.
Any transfer of registration due to visa-related circumstances may be considered at the sole discretion of ScienVanta, subject to availability, applicable deadlines, and administrative charges. ScienVanta shall not be responsible for any loss, expense, or inconvenience arising from visa refusal, delay, or other immigration-related circumstances.
